VAT and compliance
What every Summit invoice contains
An invoice has to contain certain details to count for VAT in the Netherlands and Belgium. Summit puts them on every invoice and won't send one that misses something it needs.
What's on the invoice
- About you, from your company settings: your name and address, your business registration number (the KvK number in the Netherlands), and your VAT number if you have one. Your logo, if you uploaded one.
- About your client: their name and address, the contact person if you entered one, and their VAT number for reverse charge.
- The invoice: the Invoice number, the Issue date, the Due date with the payment term, the project, and the PO number if the project has one.
- The lines: a description of each line, with the quantity, unit price and amount. A retainer's line names the period it covers.
- The totals: the amount before VAT, the VAT per rate, and the total. A VAT note where one is needed, such as "VAT reverse charged". See VAT on your invoices.
- Payment: your account name, IBAN and BIC, and for invoices in euros a payment QR code. See The payment QR code on your invoices.

Invoice numbers
Invoice numbers are the year and a sequence: 20260001, 20260002 and so on, starting again each year. With an Invoice prefix in Settings they look like ABC-20260001.
A number is given at the moment you send an invoice, never earlier. So the numbers have no gaps and follow the order you sent them in, even when you send a later invoice first. A voided invoice keeps its number; its replacement gets a new one. Credit notes have their own sequence: CN-20260001.
The EN 16931 standard
EN 16931 is the European standard for what an electronic invoice contains and how. Summit builds every invoice to that standard, and sends it as a UBL file next to the PDF, so bookkeeping software can read it without retyping. See Send invoices as PDF or PDF and UBL.
For you this means one thing: your invoices are ready for e-invoicing, which is becoming the norm for invoices between businesses in the EU.
